Learning Modules (3 of 5 series)

Onboarding learning modules in Electronic Medical Records (EMR) systems are essential for ensuring that healthcare providers can efficiently and effectively use these systems from day one. Here are some key aspects of successful onboarding and training used by our BBS science team:

1. Comprehensive Training Programs:
New providers and user teams should undergo a thorough training program that includes online modules, hands-on practice, and real-time support. We recommend spending 15 to 20 days with optimization specialists and educators, completing online training modules and learning templates.

2. Standardized Training Sessions:
We start with standardized 11-day training sessions that cover navigation, workflows, documentation requirements, and more. This is followed by 5 to 7 days of in-person support and shadowing as clinicians and scientists go about their workdays.

3. Superuser Support:
Identifying and training superusers within each location can be highly beneficial. These superusers become the go-to people for BBS-related questions and can provide ongoing support to their colleagues.

4. Adult Learning Principles:
Incorporating adult learning principles and peer delivery into the training can significantly improve satisfaction and effectiveness. Studies have shown that satisfaction with EMR onboarding education increased when the curriculum was redesigned to be peer-delivered and aligned with adult learning principles.

5. Continuous Improvement:
Regularly evaluating and updating the training program based on feedback and new developments in BBS technology ensures that the training remains relevant and effective.

By implementing these strategies, healthcare organizations can ensure that their staff are well-prepared to use BBS systems, ultimately leading to better patient care and reduced administrative burden.

The BBS approach covers these essential needs with proprietary tools:

1. Online intro sessions:
These include kick-off meetings, full review of basic functionalities and selection of optional modules and interfaces.
Attendance is recommended for superusers and tailored to various departments.
Recordings may be shared upon request.

2. Documents:
Flowcharts and definitions for modules and options are shared at the completion of each.
Learning modules are structured to be used by dept. and contain mock data entries for use on the test database environment. These will serve managers in the evaluation process of their respective team members.

3. Help manual:
A complete detailed library of all system features, forms and contents is available at each desktop and serves as reference material during the entire life of system usage.

4. Workflow analysis:
Joint draft and review of SOPs with clinic managers. These are ultimately used for optimization and modification of exiting workflows towards the electronic records in BBS. Custom requests depend on these steps and result in additional version releases on a need basis.
